We take your privacy seriously. The way we believe communication should work — people choosing to hear from a brand, staying in control, and never being added to anything without their say-so — is the same way we believe your data should be handled. This policy explains what information we collect through capture1.co.uk and our WhatsApp Insights channel, why we collect it, and the choices you have.


For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), CAPTURE1 DIGITAL VIDEO PRODUCTIONS LIMITED  is the data controller for the information described in this policy.

What this policy covers
This policy covers the personal information we collect when you:
• browse or interact with our website at capture1.co.uk;
• get in touch with us through a form, by email, or by booking a call; and
• join and use our WhatsApp Insights channel.


It does not cover the WhatsApp channels we build and run on behalf of our clients (for example, an events organiser or a hotel). When you use one of those channels, the client is the data controller for your information, and their own privacy policy applies. We act as their service provider.

The information we collect
When you visit our website


When you browse capture1.co.uk, we automatically collect a limited amount of technical information, such as your IP address, browser type, device information, and the pages you view. This is standard for almost all websites and helps us keep the site secure and understand how it’s being used. We use Google Analytics for this — see the Cookies and analytics section below.

When you contact us


If you fill in a contact or enquiry form, email us, or book a call with us (we use Calendly for bookings), we collect the details you choose to give us — typically your name, email address, company, phone number, and whatever you tell us about what you’re looking for. We use this to respond to you and, where relevant, to discuss working together.

When you join our WhatsApp Insights channel


This is the part that matters most, so we’ve given it its own section below. In short: when you choose to start a conversation with our Insights channel, we collect your WhatsApp phone number, your WhatsApp profile name, the messages you send us, and a record of how you interact with the channel (for example, which options you tap). You’re always in control, and you can leave at any time.
We do not buy, scrape, or rent contact lists. Everyone in our channel chose to be there.

Our WhatsApp Insights channel


Our Insights channel is a live demo of how a well-built WhatsApp channel works — you experience it from the receiving end, in WhatsApp itself, rather than reading about it.

How you join. You start a conversation with us on purpose — by scanning a QR code, clicking a link (for example, [the Insights link on our website]), tapping a website button, or messaging us first. Sending us that first message is how you opt in. We never add you to the channel without you starting the conversation.


What we collect through the channel. When you message our Insights channel, we process:
• your WhatsApp phone number and profile name (as shared by WhatsApp);
• the content of the messages you send and receive;
• information about how you use the channel — for example, which menu options you select and which demos you view, which we may store as tags or custom fields to keep what we send you relevant.


What we use it for. We use this information to run the demo, answer your questions (through a mix of automated flows and our live chat team), show you relevant use cases, and — if you ask us to, or book a call — to follow up about how we might help your organisation.
You stay in control. You can leave the channel at any time. Reply STOP to stop receiving messages, block the number in WhatsApp, or email us at en*******@*********co.uk and we’ll remove you. Because it’s WhatsApp, the control sits with you — and that’s the point.

How WhatsApp itself is involved. Our channel runs on the WhatsApp Business Platform, which is provided by Meta. When you message us on WhatsApp, your messages are also handled by Meta in line with its own terms and privacy policy. WhatsApp messages are end-to-end encrypted in transit between you and the business. We use a platform called ManyChat to manage and automate the channel. How we use your information, and our lawful bases
Under UK data protection law, we must have a valid “lawful basis” for using your personal information. Depending on the situation, we rely on:
• Your consent — for example, when you choose to join our WhatsApp Insights channel and receive messages from us. You can withdraw this at any time (see above).
• Our legitimate interests — for example, running and securing our website, responding to enquiries, understanding how our site is used, and promoting our services to businesses in a proportionate way. We only rely on this where your interests and rights don’t override ours.
• Taking steps to enter into a contract — for example, when you book a call or ask us to prepare a proposal.
• Complying with a legal obligation — for example, keeping records we’re required to keep.

Cookies and analytics


Cookies are small files placed on your device when you visit a website. We use them to make the site work, to keep it secure, and to understand how visitors use it through Google Analytics (provided by Google). Analytics cookies help us see things like which pages are popular and how people arrive at the site, so we can improve it.
Where required, we ask for your consent to non-essential cookies through a cookie banner when you first visit, and you can change your preferences at any time. You can also control cookies through your browser settings, though turning some off may affect how the site works.

Embedded content from other sites
Some pages on our site may include embedded content — such as videos or demos. Embedded content from another website behaves as though you’d visited that website directly. These third-party sites may collect information about you, use cookies, embed tracking, and monitor your interaction with that content, in line with their own privacy policies.

Who we share your information with


We don’t sell your personal information. We share it only with the service providers who help us run our business, and only as needed. The main ones are:
• Meta — provider of the WhatsApp Business Platform that carries our channel.
• ManyChat — the platform we use to manage and automate our WhatsApp channel.
• Calendly — the tool we use for booking calls.
• Google — for website analytics.
• Our website hosting and email providers — to run the site and communicate with you.
These providers act as our processors and may only use your information on our instructions. Some of them are based outside the UK — see the next section.
We may also disclose information if we’re required to by law, or to protect our rights, our users, or the public.

International data transfers


Some of our service providers (including ManyChat, Calendly, Google, and Meta) are based in, or process data in, countries outside the UK — including the United States. Where your information is transferred outside the UK, we rely on appropriate safeguards recognised under UK data protection law, such as UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the International Data Transfer Agreement / Addendum to Standard Contractual Clauses, to make sure your information remains protected.

How long we keep your information


We keep personal information only for as long as we need it:
• Website analytics — retained in line with our Google Analytics settings (currently 14 months).
• Enquiries and contact details — kept for as long as needed to deal with your enquiry and our relationship, and then for a reasonable period afterwards for our records.
• WhatsApp Insights channel — we keep your contact and conversation details while you’re opted in. If you opt out, we keep a minimal record of your opt-out so we don’t message you again, and remove the rest within 90 days.
We may keep some information longer where we’re legally required to.

Your rights
Under UK data protection law, you have the right to:
• ask for a copy of the personal information we hold about you;
• ask us to correct information that’s inaccurate or incomplete;
• ask us to delete your information in certain circumstances;
• ask us to restrict or object to how we use it;
• ask us to transfer your information to another provider where applicable; and
• withdraw your consent at any time, where we rely on consent (for example, by leaving our WhatsApp channel).


To exercise any of these rights, email us at en*******@*********co.uk. We’ll respond within the timeframes set by law. Exercising your rights won’t affect data we’re obliged to keep for legal, administrative, or security reasons.

How to make a complaint
We’d always rather you came to us first so we can put things right. But you also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or by calling 0303 123 1113.

Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “Last updated” date at the top of the page. If we make significant changes, we’ll take reasonable steps to let you know.
